Agency client portal

Switchboard helps agencies and their clients:

  • Stop context switching with everything in one space
  • Make progress faster by avoiding miscommunications
  • Communicate across docs, tools, meetings, and videos
  • Create more efficient feedback loops

Use any tool, including:

1.

Improve communication and stay aligned

With all your files, meetings, recordings, and to-do’s managed in the same space, everything stays in context instead of scattered across emails or disconnected from the original goals.

2.

Reduce context switching (for you and your clients)

With account managers in back-to-back meetings and clients working in different ways across different tools, your room keeps everyone grounded and focused, even at a moment’s notice.

3.

Hand off more impactful final deliverables

Don’t just attach files—group final deliverables together in an “approved” section and record a walkthrough of assets, how to use them, and FAQs that clients can watch anytime.

Every tool from any client

Any web-based tools work natively in Switchboard’s browser apps—so you can close out those extra tabs and focus on making progress. Just paste a URL into the canvas and you’re in. You can add images, videos, text, sticky notes, and PDFs too.

How to create your client portal room

  1. Set the agenda. Use the notepad app to set your meeting agenda and take notes. Track anything that comes up in a meeting or between them with an open question app. Our AI assistant can summarize and brainstorm solutions based on what’s in your room.
  2. Log into the tools you use. Use browsers to log into any relevant web apps where your working files, project management tools, and statements of work live. You can also upload any file here.
  3. Invite your clients. Share your room with your client—all your work, meetings, feedback, and follow-ups are in the room, instead of scattered across threads.
  4. Show your work and stay organized. Group related items together in sections to make everything even easier to find.

More effective client meetings with:

  • Video and voice calls
  • Browsers for any web app
  • Notepads, stickies, and open question apps to track everything
  • Room recordings
  • Screen sharing and presentation mode
  • AI summaries, and idea generation
  • Live chat and comment threads
  • Voting app for favorite ideas, designs, etc.

Frequently Asked Questions (FAQs)

What is an agency client room?

An agency client room is a single space where you and your customer will go for meetings, collaboration (sync or async), feedback, file-sharing, and follow-ups so you can keep everything in context, instead of scattered across meetings and apps. Account managers and clients can use comments, jump into interactive video calls, or record their room for more effective, nuanced communication. Account managers can also templatize their rooms and duplicate for each new client, while customizing for each client’s needs—which is key when each experience with your agency accounts.

What are the benefits of creating an agency client room in Switchboard?

Each client has different needs and workstyles across a wide array of tools, and your account managers are responsible for ushering your agency’s work into an experience that meets these needs and expectations. When both sides can merely log in to a single client portal room in Switchboard, they can cut the time-consuming context switching, and get right to work, leave feedback, or start a meeting. When this experience is smooth, clients have a better experience with your agency and are less likely to churn due to miscommunications or failure to demonstrate value.

What applications can I use in Switchboard?

Any tool that you can use in your browser works in Switchboard’s browser app—from your design, analytics, or file-sharing apps that you share with customers to simply uploading any type of file. Account managers can also add multiple screen shares of web pages they have open without sharing them directly with a client.

How do browsers work in Switchboard?

Any room member can log into a web service from Switchboard’s browser app. This member can keep any page open and visible to room members, give shared control (even during video calls), or pause access when they are not in the room. In that case, other members can open their own view associated with their account. Occasionally you might be logged out of your apps and asked to log in again, just like on a web browser.

Who has access to the room?

You can set different access levels for your Switchboard workspace and its rooms. Invite your client and their colleagues to their company’s room as limited workspace members to give them visibility and access to only their room. Other stakeholders who don’t need regular access can be a room guest, but they’ll only be admitted when a member is present in the room to let them in.
